Asset Register and Dispatch Desk for a Budapest Rental House
Designed and built a clickable asset and inventory tracker for a Budapest camera, lighting and grip rental house: one register of every serialised lens, light and laptop with its location, holder, condition and book value, reservations from hold to closed, and a dispatch desk where every item is scanned out and back in.
Most of our work is under NDA. Per agreement, we can share the work but not the company details - all names and identifying information shown here have been changed.
Dashboard, asset register, asset detail with 7 tabs, reservations and the dispatch desk. Every one of the 34 demo assets opens its own detail page.
Each desk scan ticks its line with a beep and a flash: green when it belongs to the order, amber when it belongs to another order, red when it is in quarantine or maintenance.
Orders marked as flying are flagged at the desk, and any lithium battery above 100 Wh on them, such as the 290 Wh V-mounts in the demo, is called out before dispatch.
23 catalogue models across 7 categories, bulk stock lines, 19 reservations in every status, 9 productions, 9 staff users, 6 incidents, 5 work orders and 2 ATA Carnets.
Csillagrét ran on a spreadsheet register, a paper prep sheet per order and a whiteboard of what was out. A 60-day series package could hold 300 items ticked off by hand on return, so a missing focus motor or a cracked filter was found weeks later. Two bookings were promised the same lens set, service dates lived in one technician's notebook, and finance rebuilt the fixed asset register from invoices every year-end.
Rovás keeps one register of every serialised asset and bulk stock line: tag code, location or holder, condition grade, next service and both book and replacement value. Reservations run from hold to closed, and the dispatch desk scans every item out and back in, so the condition at dispatch is on record before anyone needs to raise a charge.
Csillagrét holds about 9,400 serialised assets and several hundred lines of bulk stock across a main warehouse, a studio lot store and a fleet of vans, plus the laptops and phones its 60 staff use. Every item is either on a shelf, in a van, on set or in the workshop, and the rules that apply to it depend on where it is going.
A package of hundreds of items came back ticked off a paper list. Without a scan per item and a condition grade at dispatch, a damage or loss charge could not be backed up once the production had wrapped.
Under the Hungarian Accounting Act, fixed assets are depreciated over their useful life by the company's own accounting policy, with an option to expense low-value items at once. The insurer needs replacement value instead, and leased or sub-hired kit is not Csillagrét's to depreciate at all.
Shoots outside the EU need an ATA Carnet whose general list names every item and serial, and every item must come back. Lithium batteries above 100 Wh need airline approval to fly. Both were checked from memory.
Prep techs, coordinators, service technicians, warehouse managers, finance and IT all touch the same items, while production crew sign handovers from a phone. Crew names, phones and signatures are personal data under GDPR.
Mapped 9 user roles, 47 screens across the staff app, the mobile scanning app and the production portal, and the data model for assets, models, kits, locations, reservations, handovers, movements, condition reports, work orders, incidents, carnets, stock counts and depreciation runs. Wrote down the rules the design follows: the Hungarian Accounting Act on fixed assets and inventory, NAV Online Számla on the invoicing side, ATA Carnets issued by MKIK, IATA battery rules and GDPR.
Built 5 key screens on a production dashboard kit: the dashboard with KPIs, today's movements, my work by role, needs attention and fleet status per category; the asset register with saved views, bulk actions and a quick view panel; asset detail with movements, condition, maintenance, a 60-day bookings strip and straight-line depreciation; reservations with hold, confirm, extend and cancel; and the dispatch desk with a working scanner input. A location switcher filters the screens by site.
Camera scanning (such as Scandit or ZXing), Zebra handheld scanners and label printers, invoicing hand-off to Billingo or Számlázz.hu, a depreciation journal export to Kulcs-Soft, MNB exchange rates, VIES checks, Intune or Jamf device management and Entra ID or Google Workspace SSO. Plus the offline mobile scanning app, the magic-link production portal, carnets, condition reports, maintenance, incidents, stock counts, finance pages and an append-only audit log.
A scan that does not belong is never silently accepted. The desk names the reason, such as in quarantine since its return or belonging to another order on hire, and a line can only be skipped with a reason before dispatch is completed.
The dashboard shows what goes out and comes back today with scan progress per order, the work waiting for each role, and what needs attention: overdue returns, items out past a safety test, a carnet near expiry and kits missing a component.
Each asset's finance tab computes straight-line depreciation from its category's useful life and residual value, expenses items under the 200 000 Ft low-value threshold at once, and marks leased and sub-hired items as not depreciated.
Every asset carries its serial, QR tag, kit slot, ownership, specs and custom fields, with a movement history showing who scanned it, where, and whether from the web or the scanning app, so a question about one lens has one place to look.

Designed and built a clickable internal admin console for an Athens SaaS company that sells housekeeping software to EU hotels: find any tenant and see everything about it on one page, enter a customer's workspace only with their consent, work GDPR data requests on the clock, and give staff elevated rights only for a limited window with someone else's approval.

Designed and built a clickable approval workflow engine for a public university in Accra: request forms routed by amount, cost centre and the department hierarchy, an approvals inbox and two-tap decision screen designed phone first, delegation and out-of-office cover, and a route and history on every request that shows who approved what, and when.
