Thila - Guest Experience App and Staff Console for a Maldives Resort Group

Guest Experience Platform for a Maldives Hotel Group

Designed and built a clickable staff console for a Malé hotel group with three island resorts and one city hotel: arrivals prepared from online check-in, passports verified at the jetty, guest requests routed to departments on SLA timers, and seaplane, speedboat and car transfers built into manifests.

Impact

5 Screens
Clickable end to end

Dashboard, arrivals, arrival detail with check-in verification, request queue and transfers. Every one of the 18 arrival reservations opens its own verification page.

15 Request Types
Each with its own SLA

Routed to housekeeping, engineering, transport, front office or guest services, with targets such as 15 minutes for extra towels, 20 for air conditioning and 2 hours for plumbing. Timers turn amber at 75% and red when breached.

3 Transfer Checks
Flagged on every manifest

Flights landing after the 15:30 seaplane cut-off for Ari Lagoon and Baa Reef, departure pick-ups too close to the flight, and slots over the boat or seaplane's capacity.

18 Arrivals
Realistic demo data

39 arriving guests across 4 properties, 28 transfers in 16 slots, 24 guest requests and 15 staff users, all on one day at 10:40 Maldives time.

The Problem

Raakani's guest journey ran on email, WhatsApp chats on personal phones, paper registration cards and radio calls. Passport details were typed from photocopies at the jetty while guests waited in the heat, transfer manifests were rebuilt by hand the night before, a request for extra towels could pass through three people, and allergy notes lived in a front office spreadsheet the kitchens rarely saw.

Our Solution

Thila gives guests a mobile-first app from booking to departure and gives staff one console. Front office works an arrivals list fed by online check-in and verifies each passport against the document, departments get requests with SLA timers, and the transport coordinator builds seaplane, speedboat and car manifests from the guests' flight times.

The Challenge: Island Arrivals on Paper and Radio

A Maldives resort guest lands at Velana International Airport, hands over a passport, boards a seaplane or speedboat and expects the villa to be ready. Every step depends on details that used to arrive late, by hand or not at all.

Passports Typed at the Jetty

Tourist establishments must register their guests and share guest details with the authorities as the immigration rules require. Raakani collected those details from photocopies on arrival, so typing errors and expired documents were found with the guest already standing at the desk.

Transfers That Depend on Daylight

Seaplanes generally fly in daylight only and operators set baggage limits, so a late flight means a domestic flight and speedboat or a night near the airport. Manifests were rebuilt by hand each night, and late landings were spotted when the seaplane had already gone.

Requests With No Owner or Clock

Requests came by phone, chat and radio, passed through several people before reaching housekeeping or engineering, and nobody could say how long they took. Guest services had no way to see a breach until the guest complained.

Health Data in a Spreadsheet

Allergies and medical dietary needs are health data. They need explicit consent, must reach the kitchen and service staff who prepare the food, and must be hidden from everyone else. EU guests' data is also treated to GDPR standards.

Our Approach: From Guest Journey to a Clickable Console

01

Spec and Rules Research

Mapped 10 user roles, 44 screens (16 in the mobile guest app and 28 in the staff console) and the data model for reservations, identity documents, online check-in, consents, allergy records, transfers, requests, bookings and folio postings. Wrote down the rules the design follows: guest registration with Maldives Immigration, GDPR-style consent and retention, PCI DSS card tokens, T-GST and green tax lines taken only from the PMS, and seaplane cut-off times.

02

Clickable Demo on a Production UI Kit

Built 5 key staff screens on a production dashboard kit: the dashboard with KPIs, a live request board by department and needs-attention alerts, arrivals with check-in progress and allergy flags, arrival detail with passport verification and a Verify and check in checklist, the request queue as a board or table, and transfer manifests by slot. A property switcher filters every page. All actions run on local state.

03

What a Production Build Adds

The 16-screen mobile guest app and the remaining staff pages. Integration with the PMS (such as OPERA Cloud or Mews), BLE mobile-key locks, POS and spa systems, Adyen or Stripe card tokens, passport MRZ reading, WhatsApp, SMS and push messaging, and the seaplane operator's booking channel. Staff auth by role and property, a health-data access flag per person, and an audit log of every passport view, key issue, posting and consent change.

Why It Works: Ready Before the Guest Lands

Arrivals Show What Is Missing

Each reservation shows its ETA and transfer slot, how many passports are in (for example 2 of 4), allergy severity, guarantee and key status. Filters by check-in status, transfer mode, VIP and room let front office chase the gaps before the boat leaves.

Verification Against the Document

Every guest's passport fields sit next to a Document seen and matches checkbox, with typed entries, mismatches and passports expiring within 6 months of departure highlighted. Check-in stays blocked until every adult is verified, the guarantee is approved and a room is assigned.

Sensitive Data Is Gated and Logged

Opening a passport scan is logged as a sensitive view with the user and time, and corrections land in the audit trail. Allergies show only to staff with health-data access, with the date the guest gave consent.

SLA Timers Everyone Can Read

Requests carry their room, department, assignee and a countdown in text as well as colour. The duty manager sees open, at-risk and breached requests per department on the dashboard, and the queue can be filtered to breached or scheduled requests.
