Kalafat - Short-Term Rental Manager for Holiday Apartments on the Dalmatian Coast

Rental Operations Platform for a Croatian Holiday Home Manager

Designed and built a clickable short-term rental manager for a Split company running about 180 holiday apartments for private owners: one view of every booking channel, a Today board for changeover days, cleaning turnovers from assignment to inspection, and guest check-in that collects only the registration details eVisitor asks for.

Impact

5 Screens
Clickable end to end

Dashboard, Today board, reservations, reservation detail with 5 tabs and the guest registration panel, and the turnover board with its turnover panel. An area filter for Split, Trogir, Omiš and Brač narrows every screen.

6 Stages
Every turnover tracked

Unassigned, assigned, in progress, done, needs inspection and inspected, with checklist progress, photos, linen, issues and the inspection result on each clean.

Fields Only
No passport copies kept

Guest check-in collects the document details eVisitor registration needs, not a scan. Document photos are off by company policy, and the lock code stays masked with an audited reveal.

76 Bookings
Realistic demo data

22 units in 4 areas, 12 owners, 8 cleaners and 3 channels, with bookings across upcoming, in house, checked out, cancelled and inquiry, on a peak Saturday with 16 check-ins and 16 check-outs.

The Problem

Pjaceta grew from 30 to 180 apartments in five seasons on a channel manager, a shared Google calendar, three WhatsApp groups and a spreadsheet per owner. Cleaners heard about same-day turnovers from a group message at 08:00, guests were registered in eVisitor by hand from passport photos sent over WhatsApp, prices changed by feel twice a season, and monthly owner statements took the office a full week.

Our Solution

Kalafat brings listings, reservations from every channel, pricing, cleaning, smart lock codes, guest registration, tourist tax and owner payouts into one platform. Managers run each changeover day from a Today board, cleaners work turnovers with checklists and photos, and guests complete check-in online before their door code is issued.

The Challenge: Changeover Day at 180 Apartments

A Dalmatian holiday home manager lives by its changeover days: guests leave and arrive within hours of each other, across booking channels, owners, cleaners and Croatian registration and tax rules that apply to every stay.

Same-Day Turnovers With No Proof

Most units turn over between a 10:00 check-out and a 15:00 check-in, sometimes with a late check-out or an early arrival. Nobody could prove an apartment had been cleaned, restocked or left damaged before the next guest walked in.

Guest Registration Under a Deadline

Every guest's arrival has to be registered in eVisitor, the national system that also passes foreign guests' stay registration to the police. The law asks for document details, not a copy of the passport, yet passport photos sat on staff phones indefinitely.

Tax and Licence Rules Per Property

Tourist tax is a flat amount per bed for some units and per person per night for others, at locally set rates. Each unit has an approved bed count, and EU short-term rental rules add a registration number that must appear on every listing.

Owners Waiting on Spreadsheets

About 140 private owners phoned to ask what they had earned, each spreadsheet formula error became a difficult conversation, and invoices to consumers must be fiscalised with the Tax Administration whatever the payment method.

Our Approach: From Croatian Rental Rules to a Clickable Console

01

Spec and Rules Research

Mapped 12 roles, from operations manager and compliance officer to cleaners, owners and guests, and 55 screens across the manager console, a mobile-first cleaner app, an owner portal and guest check-in. Wrote down the rules the design follows: GDPR and Croatia's implementing act, eVisitor registration, the Tourist Tax Act, licences and categorisation, Regulation (EU) 2024/1028, fiscalisation and PCI DSS.

02

Clickable Demo on a Production UI Kit

Built 5 key screens on a production dashboard kit, set on a peak Saturday in July: the dashboard with occupancy, ADR, RevPAN, booking pace and channel mix, the Today board row by row, reservations from Airbnb, Booking.com and direct, the reservation detail with stay, money, access, messages, turnovers and fiscalised invoices, and the turnover board with suggested cleaners by area and load. Actions run on local state.

03

What a Production Build Adds

Channel connections through a channel manager such as Channex or Rentals United, the eVisitor integration, a certified fiscalisation provider, Nuki, igloohome or TTLock smart locks, Stripe or Adyen payments, SEPA owner payouts, staff auth by role and an audit log of every change, plus the remaining screens: pricing, compliance, finance, the cleaner app, the owner portal and guest check-in.

Why It Works: One Day, One Board

The Day Runs From One Screen

The Today board lists every property with movement: who leaves, the turnover and cleaner, who arrives and when, the party, check-in details, registration and access code. Rows turn amber when an arrival is within 2 hours and the clean is not done, and red once the guest has arrived.

Cleans Are Checked, Not Assumed

Every turnover shows its window, cleaning estimate and same-day flag. The turnover panel tracks the checklist, photos, linen and issues, and a clean can be sent to inspection and sent back with notes before it counts as ready.

Registration Without Passport Copies

Guests enter their document details before arrival and each guest shows as collected or missing fields. Document photos stay off by default, and the door code is sent only once check-in is complete.

Every Channel and Euro Accounted For

A reservation shows accommodation, cleaning and extra guest fees, tourist tax where it is collected per night, channel commission and the expected payout, in euro with Croatian number format. Invoices show their fiscalisation status, and tax rates live in configuration, never in code.
