Liyawel - B2B Booking Platform and Back Office for a Bed Bank

Trade Booking Platform for a Colombo Bed Bank

Designed and built a clickable back office for a Colombo bed bank that sells hotels, transfers and tours in Sri Lanka and the Maldives to about 900 travel agencies: every booking across portal and API, one exceptions queue for bookings that did not go cleanly, and agency accounts with credit, wallet and holds.

Impact

5 Screens
Clickable end to end

Dashboard, bookings with quick view, booking detail with amend, cancel, manual confirm and waive penalty, the exceptions queue with its detail panel, and agencies with quick view. All 24 demo bookings open their own detail page.

48 Hours
Agency deadline buffer

Each booking item keeps the supplier's cancellation policy as it was at booking and shows the agency a deadline 48 hours earlier, with the penalty if cancelled now and who bears it.

7 Types
Exceptions in one queue

Failed confirmation, price changed, on request, overbooking, supplier cancelled, amendment pending and mapping error. Age turns amber after 60 minutes and red after 2 hours.

24 Bookings
Realistic demo data

18 agencies in Sri Lanka, India, the Gulf and Europe, 10 suppliers, 14 properties in Sri Lanka and the Maldives, 12 exceptions and 8 staff users.

The Problem

Kithul Coast grew from a Sri Lanka inbound operator into a bed bank, but its tools did not grow with it. Contracted rates lived in 140 spreadsheets, agencies booked by email and WhatsApp, and a reservations team of 11 re-keyed every booking into the hotel's extranet and then into accounting. Cancellations were missed because nobody tracked each hotel's deadline, and credit was extended on trust: at year end, 38 agencies were over their informal limit and two had disappeared owing money.

Our Solution

Liyawel gives agencies a trade portal to search net rates, quote, book, amend and cancel, and gives Kithul Coast's staff one back office behind it. Every booking item carries its supplier, price build-up and frozen cancellation policy, failed or changed bookings land in a single exceptions queue with retries and alternatives, and each agency's credit, wallet and hold status sit next to its bookings.

The Challenge: Selling Other People's Rooms on Credit

A bed bank sits between hotels and agencies. It buys at net from direct contracts and third-party suppliers, adds a margin, and sells on credit to agencies in four markets, while each supplier keeps its own confirmations, cancellation terms and currency.

Every Supplier Cancels Differently

Each hotel, transfer company and bed bank has its own deadlines, penalties and no-show rules, and they change by season. If the agency's deadline matches the supplier's, Kithul Coast has no time to cancel upstream and pays the penalty itself.

Bookings That Do Not Go Cleanly

A hotel does not answer, a price moves between search and booking, a room is overbooked, a seaplane operator cancels or two suppliers' rooms fail to map. Each case needs a different fix, and each has a traveller and an agency waiting.

Credit Across Markets and Currencies

Sri Lankan agencies are invoiced in LKR and all others in USD under the Foreign Exchange Act and Central Bank directions. Limits, overdue statements and holds have to be visible before a booking is taken on credit, not discovered at month end.

Personal Data Sent Abroad

Sri Lanka's Personal Data Protection Act No. 9 of 2022 covers traveller and agency staff data, and bookings for hotels abroad send names to suppliers outside Sri Lanka. The platform should collect only what a supplier needs and nothing more.

Our Approach: From Trade Rules to a Clickable Back Office

01

Spec and Rules Research

Mapped 13 user roles across agency staff, travellers and Kithul Coast's teams, 50 screens across the back office, agency portal and public links, and the data model for agencies and KYB, suppliers, contracts, markup rules, priced offers, bookings, exceptions, credit and wallet. Wrote down the rules the design follows: the PDPA, SLTDA registration under the Tourism Act, the Foreign Exchange Act, configurable tax codes and the client's booking policies.

02

Clickable Demo on a Production UI Kit

Built 5 key back-office screens on a production dashboard kit: the dashboard with KPIs, bookings by product, top destinations, operations, credit and supply health, the bookings list with filters and bulk voucher resend, booking detail with price lines and frozen cancellation policy, the exceptions queue with retries and alternatives, and the agencies list with credit and holds. All actions run on local state.

03

What a Production Build Adds

Connections to bed bank and wholesaler APIs, channel managers, hotel content mapping, a payment gateway for card top-ups, bank files for LKR and USD transfers, Central Bank exchange rates, sanctions screening, accounting exports and email and SMS. Staff and agency auth by role, a full audit log, the supply, pricing, finance and partner screens, and the 16-screen agency portal.

Why It Works: Every Booking Shows What It Will Cost

The Price Build-Up Is on Every Item

Each item shows supplier net, the markup rule that set Kithul Coast's margin, net to agency, suggested sell, the FX rate used and the tax code. Staff see why a price is what it is without opening a spreadsheet.

Deadlines Before They Bite

The top bar shows Colombo time and the next supplier cancellation deadline in the next 24 hours, and the bookings list filters by agency deadline. The agency's deadline always falls 48 hours before the supplier's.

Exceptions Come With a Next Step

The exception panel shows what happened, the supplier's raw response and the three automatic retries, then offers rebooking on another supplier for the same mapped room or an alternative for the agency, with the cost difference and who absorbs it.

Credit Next to the Booking

The agencies list shows limit, used, wallet and overdue for each agency, with a red bar when an account is over its limit. Holds, releases and suspensions are made from the agency panel, and the dashboard flags agencies placed on hold today.
