Interview Scheduling for a Consulting Firm Hiring Across Central Asia and Europe
Designed and built a clickable interview scheduling platform for an Almaty consulting firm with six offices: a scheduling queue fed by the ATS, a workbench that builds interview panels from skill-based pools within load limits, free/busy availability in the candidate's own time zone, and interview detail with reminders, at-risk alerts and private adjustments.
Most of our work is under NDA. Per agreement, we can share the work but not the company details - all names and identifying information shown here have been changed.
Dashboard, scheduling requests, scheduling workbench, calendar and interview detail. Each of the 22 demo requests opens its own workbench and each of the 21 interviews its own detail page.
Pool limits of 4 interviews a week (3 for partner fit) are checked as the panel is built. Going over shows "would reach 5 of 4" and needs a reason before booking.
Interviewer calendars appear as grey busy blocks with no titles, attendees or descriptions. Clashes with booked interviews are flagged on the calendar and the interview.
22 candidates, 21 interviewers in 7 pools, 4 interview plans from 3 to 5 rounds, 21 interviews and 8 rooms across 6 offices in 5 countries.
Sarytau's six recruiting coordinators scheduled every interview by hand: opening each interviewer's calendar, emailing candidates three or four options and starting again when a partner's diary changed. Time-zone slips caused missed interviews, the same twenty senior consultants carried most case interviews, new interviewers joined panels without shadowing, and a final-round panel took a median of 8 working days to book.
Kezdesu turns a scheduling request from the ATS into confirmed interviews. It suggests interviewers from skill-based pools within their load limits, reads only free/busy from Google Workspace and Microsoft 365, offers the candidate times in their own zone through a self-schedule link, books rooms and video links, applies shadowing rules and flags interviews at risk in the next 48 hours.
Sarytau hires around 900 people a year, from graduate analysts to partners, through up to five interview rounds each, including case interviews and panels. Every booking has to fit the panel's calendars, the candidate's time zone, the pool's rules and the firm's privacy obligations in three jurisdictions.
Kazakhstan moved to a single zone, UTC+5, on 1 March 2024 and has no daylight saving, while the Warsaw and Berlin offices change clocks twice a year and candidates apply from London or Dubai. Every time has to be stored in UTC and shown in the candidate's zone, in words.
A few senior consultants carried most case interviews while trained colleagues sat idle. New interviewers need two shadow sessions and a reverse shadow before sign-off, and a shadow may only join when a qualified interviewer from the same pool is on the panel.
Kazakhstan's personal data law generally requires consent and storage in Kazakhstan. Uzbekistan's rules for Tashkent candidates have changed, so they are flagged for counsel. Candidates of the EU offices fall under the GDPR, and transfers to the Almaty system need a mechanism such as Standard Contractual Clauses.
Requests for extra time or step-free access were forwarded around a shared inbox with the candidate's CV. They can reveal health information, special category data under GDPR Article 9, so only the candidate care lead may see the details and nothing may reach the hiring decision.
Mapped 10 roles from coordinator and pool lead to candidate care lead and data protection officer, 34 screens (30 staff screens and 4 candidate pages), and the data model for requests, versioned interview plans, pools and training sessions, free/busy blocks, self-schedule links, changes, no-shows and accommodation requests. Wrote down the rules the design follows: Kazakhstan and Uzbekistan personal data law, GDPR, least-privilege calendar scopes, time zones and fair process.
Built 5 key screens on a production dashboard kit: the dashboard with KPIs, request pipeline, at-risk interviews and today's timeline per office, the scheduling queue with tabs, filters and bulk actions, the scheduling workbench with ranked panel suggestions, load and training checks and a 10 working day availability grid, the interviewer and room calendar with clash markers, and interview detail with participants, messages and activity. Everything runs on seeded demo data.
Integration with the ATS, Google Calendar and Microsoft Graph free/busy, room calendars, Google Meet, Teams and Zoom, SendGrid or Postmark email, SMS, WhatsApp and Telegram reminders, and single sign-on with Microsoft Entra ID or Google Workspace. Primary data hosted in Kazakhstan, the four mobile-first candidate pages, the restricted accommodation workflow, reports, settings and a tamper-evident audit log.
Each seat lists suggested interviewers scored on office, language, load this week and days since their last interview. The hiring manager's pick is pinned, and conflicts such as a previous round with the same candidate or the referrer's team are explained rather than hidden.
The workbench shows the candidate's zone and local time next to the office's, the availability grid runs in the candidate's zone with office time underneath, and a top bar switch shows times in my zone, the office's zone or UTC.
The dashboard lists interviews in the next 48 hours where a calendar now shows busy, an interviewer declined, a room was released, a reverse shadow lacks a qualified observer or a candidate has not confirmed. Each links to the interview with a fix action.
Coordinators and interviewers see only practical instructions such as "Allow 15 extra minutes" or "Step-free room", and the availability grid applies them. Contact details stay masked until revealed, and each reveal is logged.

Designed and built a clickable applicant tracking system for a Bratislava retail and logistics group that hires about 3,500 store, warehouse and driver staff a year: a hiring dashboard, jobs with pay ranges on every posting, a per-job pipeline board with no ranking or AI sort, candidate profiles with consent and retention, and a knockout review where a person confirms every rejection.

Designed and built a clickable AI-assisted screening tool for a New York City fintech's Technology Graduate Programme: blind resumes with quoted evidence against a short list of job-relevant criteria, a recruiter who advances, holds or rejects with reasons, a second review of risky rejects, and a candidate request inbox - with no auto-reject, no overall score and no ranking.
