Corporate Travel and Expense Platform for a Luxembourg Engineering Consultancy
Designed and built a clickable travel and expense console for a Luxembourg engineering consultancy with four employing entities: trips with their approval chain and policy exceptions, a traveller map that locates people from their bookings rather than their phones, and a finance review queue that flags duplicate receipts, centrally paid hotels and per diem overlaps.
Most of our work is under NDA. Per agreement, we can share the work but not the company details - all names and identifying information shown here have been changed.
Dashboard, trips, trip detail with 4 tabs, traveller map and finance review queue, with trip quick view, booking detail, traveller and flag detail panels.
The traveller map places people from their flight, hotel and rail bookings. Live location shows only for a traveller who opted in during an incident, and every phone number reveal is logged.
Duplicate receipts across travellers, hotels already billed centrally, per diem and meal overlaps, split receipts under the €25 threshold, blocked merchant categories and FX rate outliers, each with its evidence.
24 trips to 13 destinations from the Greater Region to the Gulf and West Africa, 18 bookings, 16 expense reports with 14 flags, 4 risk alerts, 3 incidents and 21 staff across 4 entities.
Mielerbach booked travel through an agency by email, approved trips in Outlook threads and claimed expenses on an Excel template with stapled paper receipts. When a rail strike hit Brussels and a storm grounded flights in Frankfurt, nobody could say who was abroad, and the safety officer phoned project managers one by one for two days. Hotels above the policy caps went unnoticed until month end, card statements were reconciled by hand, foreign VAT was almost never reclaimed and finance spent a week re-keying about 900 claims into the ERP.
Kasematt covers the whole loop for about 1,400 staff in six offices: a trip request with purpose, project and cost centre, pre-approval through a fixed chain, booking inside the travel policy with a reason for every exception, duty of care while abroad, then receipts, per diems, mileage and card matching. The console gives travel, safety and finance one place to see who is where, what is out of policy and which expense reports need a closer look.
Mielerbach employs engineers through entities in Luxembourg, France, Germany and Belgium, sends them from client sites in the Greater Region to long assignments in Muscat, Abidjan and Dakar, and has to look after them, pay them correctly and recover the VAT it is owed.
An employer must protect staff travelling for work, but tracking an employee's location is monitoring under Article L.261-1 of the Luxembourg Labour Code, which requires prior information to staff and the staff delegation. The design had to answer "who is in the storm area?" without tracking anyone's phone by default.
Each employing entity has its own tax-free per diem and mileage rules, and each country limits which VAT is recoverable. Foreign EU VAT is reclaimed under Directive 2008/9/EC and only with an invoice in the company's name, so nothing can be assumed recoverable.
Hotel caps vary by city and grade, cabin and rail class depend on journey time, and some trips need a project director or partner to approve. Out-of-policy bookings and their reasons were invisible until the card statement arrived.
Ticketing needs passport numbers and dates of birth, the safety team needs phone numbers and emergency contacts, and finance needs IBANs. Under the GDPR each has its own purpose, and Mielerbach's policy is to mask them by default and log every reveal.
Mapped 9 roles from traveller and arranger to safety officer, finance manager and DPO, 45 screens across the mobile app and the console, and the data model for trips, bookings, policies, approval chains, risk alerts, check-ins, receipts, expenses, card transactions, flags and VAT claims. Wrote down the rules the design follows: GDPR and Luxembourg's 2018 data protection law, employee monitoring under the Labour Code, the EU VAT refund procedure, Peppol e-invoicing, per diem and mileage rules per entity, A1 certificates and 10-year record keeping.
Built 5 console screens on a production dashboard kit: the dashboard with travellers now, KPIs, waiting items and 12 months of spend by category, trips with filters and CSV export, trip detail with itinerary, bookings, spend and approvals, the traveller map with risk overlays and check-ins, and the review queue with flag detail, hold and release. An entity filter in the top bar narrows every screen to Luxembourg, France, Germany or Belgium.
The 20-screen mobile app for travellers and approvers, then integration with the TMC and booking content (such as Amadeus), rail providers, a risk provider like International SOS, receipt OCR, the corporate card feed, ECB exchange rates, SAP or Dynamics and payroll. Entra ID single sign-on, field-level encryption for passports and IBANs, an append-only audit log, and the policy builder, VAT reclaim, card reconciliation and export screens.
The map shows where each traveller's itinerary says they should be, with risk alerts drawn as shaded areas. A privacy line on the page says so, phone numbers stay masked until a logged reveal, and only a traveller who opted in shows a live marker.
Each booking shows whether it is in policy, and when it is not, the rule broken and the reason given, such as "€228/night above the Frankfurt cap of €180/night for G3" with "Client requirement: trade fair week".
Every trip shows its chain step by step: line manager, a project director above €3,000 and a partner for high-risk destinations, with delegates named. Same-day Greater Region rail under €150 is pre-approved by policy.
The queue shows the sampling rule, all flagged reports plus 10% of clean ones, and flags by severity with days waiting. Each flag opens its evidence, such as the other report with the same receipt, and clean reports are released to payment in bulk.

Designed and built a clickable hotel console for a Costa Rican group of seven boutique hotels and eco-lodges: a dashboard of direct business, every booking with its price, payments and policy snapshot, a rates and availability grid where derived plans follow the best available rate, and a refund queue with approval limits.

Designed and built a clickable staff console for a Malé hotel group with three island resorts and one city hotel: arrivals prepared from online check-in, passports verified at the jetty, guest requests routed to departments on SLA timers, and seaplane, speedboat and car transfers built into manifests.
