Time and Billing Platform for a Cypriot Corporate Law Firm
Designed and built a clickable time and billing platform for a Limassol corporate law firm with international clients: timers and weekly time with narrative quality flags, a monthly billing queue, pre-bill review with write-down limits and outside counsel guideline checks, and invoices with the right VAT treatment for EUR, USD and GBP matters.
Most of our work is under NDA. Per agreement, we can share the work but not the company details - all names and identifying information shown here have been changed.
Dashboard, my time week, billing queue, pre-bill review and invoices, plus the running timer and time entry panel on every page. All 16 demo pre-bills open their own review.
Each e-billing pre-bill runs 9 outside counsel guideline rules before it leaves the firm, from 0.1 hour increments and block billing to rate caps such as AS at €260 and travel at 50%, each with pass, warn or fail and its source clause.
A billing partner's write-downs are measured against firm policy on every pre-bill. Above either limit the request goes to the managing partner, and Approve stays blocked while a guideline fail or an over-limit write-down is open.
Clients in 11 countries billed in EUR, USD and GBP under 3 VAT treatments, 6 of them on 4 e-billing platforms, with 16 matters, 12 timekeepers, 16 pre-bills and 23 invoices.
Anemomylos recorded time in a desktop practice system nobody opened on a phone, so lawyers rebuilt their days on Friday afternoons and time leaked. Narratives like "work on file" reached invoices, about 35 corporate clients rejected or cut e-bills under their own guidelines weeks later, pre-bills were marked up on paper and re-keyed, and capped matters overran unnoticed.
Kalamos covers the money side of a matter from timer to invoice. Fee earners record time with UTBMS codes and see quality flags as they type, the billing queue runs the monthly cycle, and the billing partner reviews each pre-bill with caps, write-down limits and the client's guidelines checked on screen before an invoice is approved and issued.
A Cypriot firm billing corporate clients across Europe and beyond works to its own fee arrangements, each client's e-billing rules and the VAT rules for wherever the client is established, all at once on every invoice.
With no phone-friendly way to record time, lawyers reconstructed the week from memory. Hours went missing, and vague narratives such as "work on file" or "attention to" went straight onto client invoices.
About 35 corporate clients require LEDES invoices through platforms such as Legal Tracker, CounselLink, TyMetrix 360 and Brightflag, each with outside counsel guidelines on increments, block billing, rate caps, staffing and expenses. A breach surfaced only when the platform rejected or cut the invoice, often six weeks later.
Matters run hourly, fixed fee, capped or hourly with a budget, with rates set by timekeeper, client and matter. Pre-bills were printed, marked up by hand and re-keyed, capped matters overran without anyone noticing, and partners waited for the monthly finance pack to see WIP or debtors.
Cyprus clients pay VAT at 19%, EU business clients get no Cyprus VAT under the reverse charge once their VAT number is checked in VIES, and clients outside the EU are generally outside scope. Invoice numbers can never be reused, and payments from third parties or unexpected countries have to wait for the MLRO.
Mapped 9 user roles and 44 screens across staff, mobile time and the client portal, with 5 slide-over panels, and the data model for timekeepers, rate tables, time entries, disbursements, pre-bills, write-downs, invoices, credit notes, e-billing submissions and receipts. Wrote down the rules the design follows: Cyprus VAT and the EU reverse charge, sequential invoice numbering, LEDES 1998B and 1998BI with UTBMS codes, the AML Law 188(I)/2007 and the GDPR.
Built 5 key screens on a production dashboard kit: the partner's day with hours against the 6.5 hour target and a work list of pre-bills and write-downs, the week grid and list with quality flags and Release all valid, the August billing queue with Generate pre-bills and a hold list under €500, pre-bill review with line edits, guideline check and invoice preview, and invoices with issue, export and quick view. All actions run on local state.
Integration with the firm's matter management and engagement systems, Business Central or SAP Business One for the ledger and client accounts, the four e-billing platforms, VIES checks, ECB exchange rates, Microsoft 365 calendar and email suggestions, Entra ID sign-in and JCC or Stripe portal payments. Plus the append-only audit log, gapless numbering with credit notes, MLRO payment flags, the mobile time screens, the client portal and tax adviser sign-off on every VAT treatment.
The time entry panel offers only the matter's UTBMS code set and gives live hints on the narrative. In the week view each flag names its rule and whether it comes from the firm or the client's guideline, and entries with a blocking flag cannot be released.
For e-billing clients the guideline check tab lists every rule with its severity, result, the lines that break it and the clause it comes from, such as "Rate above cap for AS: €280 vs €260", next to a preview of the LEDES file.
A capped matter shows the cap, billed to date and what still fits, and writes the excess down automatically. Budget against actual and fixed-fee adjustments sit in the same summary, so the partner sees the real fee before approving.
The write-down summary shows the partner's 15% or €5,000 limit with a button to request approval above it. The client-facing preview carries the right VAT wording for Cyprus VAT, reverse charge or outside scope, and issuing assigns the next invoice number in the sequence.

Designed and built a clickable contract review tool for the in-house legal team of a Lusaka copper miner: the AI extracts each clause of a third-party contract, compares it with the company playbook, flags risks with a plain explanation and drafts redlines, while a lawyer decides every flag and only a lawyer with the right authority can sign off.

Designed and built a clickable contract lifecycle system for a Cluj-Napoca software company selling to EU and US customers: contract requests from CRM deals, a board of every contract in negotiation, a contract workspace with versions, clauses and signature level, and approvals routed by a fixed matrix of discount, liability, payment and data protection rules.
