School-to-Family Messaging for a Hamburg Education Office
Designed and built a clickable staff app for a Hamburg education office's parent communication platform: announcements with read receipts per guardian, the morning absence list against the register, and teacher messaging inside set hours - written in German and machine translated into Turkish, Arabic, Ukrainian and English, with the original always visible.
Most of our work is under NDA. Per agreement, we can share the work but not the company details - all names and identifying information shown here have been changed.
Staff home, announcements, announcement detail with read receipts, the morning absence list and the messages inbox, plus a compose modal that opens from every page.
Every announcement and message shows the German original next to its Turkish, Arabic (right to left), Ukrainian or English machine translation. The German is marked as authoritative.
Sick notes after 08:00 are recorded and marked late, and pupils absent in the register without a report are listed as missing and not reported.
3 classes, 128 guardians (105 connected), 15 announcements with per-guardian read receipts, 20 absence reports over two days, 11 message threads and 5 forms, payments and RSVPs due soon.
Each of Wandsgrund's 34 schools had its own mix of paper letters in the school bag, class WhatsApp groups, spreadsheet email lists, phone calls for sick notes and cash in envelopes. Letters were only in German, so families with little German missed deadlines or relied on their children to translate. Nobody could tell who had read an important notice, school offices took up to 60 sick-note calls a morning, and teachers used their private phone numbers.
Fleetbrief gives the office's schools one platform: a parent app, a staff app for teachers and school offices, and an education office console. The demo shows the staff side for a class teacher: announcements with read receipts per guardian, the morning absence list matched against the register, and messages with parents, all written in German and read by each family in its own language.
Wandsgrund looks after about 27,500 pupils and 21,000 families. Many speak Turkish, Arabic, Ukrainian or English at home, and every message has to reach the right guardians under German school, family and data protection law.
Notices went out in German only. Translation has to help these families without replacing the original: the German stays authoritative, every translated message needs a disclaimer, and emergency alerts must use human-translated templates.
Under German family law a court can restrict what a parent may be told. Hand-kept lists meant a parent without that right sometimes received information. Access can never be inferred from a surname or address, and a recorded restriction must override everything else.
Teachers could not tell which families had seen a trip deadline or a parent evening invitation, and families without an account still had to get the same notice on paper.
The GDPR, the Hamburg school act (HmbSG) and the Hamburg data protection act (HmbDSG) govern pupil data, photo consent falls under the KUG as well, and a public body's app has to meet WCAG 2.1 AA.
Mapped 9 roles from parent to data protection officer and 48 screens across the parent app, the staff app and the education office console, plus the data model for guardian links, custody restrictions, announcements, translations, per-guardian deliveries, absences, forms, payments and photo consent. Wrote down the rules the design follows: GDPR, HmbSG and HmbDSG, custody under German family law, KUG photo consent, absence reporting, simple e-signatures and accessibility for public bodies.
Built the 5 key staff screens for a class teacher at one primary school on a production dashboard kit: the staff home with today's absences and messages waiting, the announcements list with sent, scheduled, draft and approval tabs, the announcement detail with read receipts and translation compare, the absence list with confirm, approve and decline, and the messages inbox with saved replies. All actions run on local state.
The parent app and the education office console, sync with the student information system via OneRoster or CSV, staff sign-in through the office's identity provider, DeepL or Azure AI Translator with EU processing, payments through Stripe or Mollie, push, SMS and email delivery, EU hosting, the emergency alert, guardian verification and a full audit log of every restriction, consent change and export.
Teachers write in German. Parents' notes and messages arrive with a German translation and the original underneath, and the announcement detail sets the German beside each translation, with Arabic laid out right to left.
Each announcement shows its read rate, a read, not read and not connected bar, and a table per pupil with each guardian's first read and confirmation. Remind non-readers and print paper letters for unconnected families are one click each.
A guardian with a custody restriction appears only as "Restricted - see school office", and a conversation about that pupil notes that the other guardian is information only and cannot be messaged. Guardian phone numbers for missing pupils stay with the school office.
The absence list counts reported, late, missing and awaiting approval, shows each note in the parent's language with its German translation, and lists pupils absent in the register without a report with a "Your child is not at school" message to their guardians one click away.

Designed and built a clickable teacher workspace for an AI maths and science tutor sold to Indian secondary schools: a class mastery heatmap mapped to CBSE chapters, practice assignments, student detail with the tutor's line-by-line feedback on handwritten working, and a review queue for tutor chats the guardrails flagged.

Designed and built a clickable school management system for a group of 8 private K-12 schools in Abu Dhabi: a school dashboard that tracks today's registers, student records with custody restrictions and medical alerts, attendance follow-up through a fixed intervention ladder, and fee invoices with sibling discounts and VAT per fee line.
