Cellar Door - Cellar Stock, Tasting Room and Wine Club Platform

Winery Platform for a Family Bodega in Mendoza

Designed and built a clickable staff console for a family winery in Mendoza: cellar stock by SKU, lot and vintage with every bottle promised to the club or a distributor counted against it, a tasting room floor view with an age check for each tasting adult, and a wine club with tiers, seasonal shipments and failed card charges in one place.

Impact

5 Screens
Clickable end to end

Dashboard, cellar inventory, wine detail with 4 tabs, the tasting room Today floor view and club members, plus panels for stock moves, walk-ins, age checks and each member.

-34 Bottles
Over-allocation shown before packing

Free stock is on hand minus library, quarantine, allocations and tasting room reserves. The 2021 Gran Reserva Malbec shows 2,136 on hand and -34 free in red, with a warning to release or reduce an allocation.

18+
ID check per tasting adult

Check-in asks the host to confirm an ID showing 18 or over for each tasting adult. Designated drivers and minors are marked non-tasting, and no ID numbers or photos are stored.

14 SKUs
Realistic demo data

14 bottled SKUs, 11 bulk lots, 20 parties across 6 tasting slots in 3 rooms, 24 club members in 3 tiers and 10 staff users.

The Problem

Bodega Jarillal ran on a winemaker's barrel spreadsheet, a separate warehouse count, a booking inbox fed by WhatsApp and email, and a club list in a card processor's dashboard. The cellar did not know how many bottles of the 2021 Gran Reserva were promised to the club until the shipment was packed, and twice sold the last cases to a distributor. Tasting slots were overbooked on busy harvest Saturdays, hosts could not see who had a coeliac guest coming, about one in ten club charges failed each season with nobody chasing them, and nobody could show that age checks had happened.

Our Solution

Cellar Door puts the winery's cellar stock, tasting room and wine club in one staff console. Every SKU shows what is on hand, what is promised to the club, distributors and the tasting room, and what is truly free. Hosts run the day from a floor view with dietary notes, drivers, minors and an ID check per guest, and the club manager sees each member's tier, next shipment and card status before the charge runs.

The Challenge: One Bottle, Many Promises

A family winery sells the same bottle through its tasting room, its shop, its wine club and its distributors, under Argentine rules on alcohol, wine production, invoicing and personal data. Each sale draws on stock the cellar could not see in one place.

Stock Promised Twice

Bottled wine sits in the cellar, the warehouse and the shop, while bulk wine ages in tanks and barrels. Club seasons, distributor orders, tasting room pours and library holds all claim the same bottles, and the winery found out it had promised too many only when a shipment was packed.

Busy Saturdays at the Tasting Bar

Bookings arrived by website, phone, WhatsApp and agencies, plus walk-ins. Hosts had to know each party's size, language, designated drivers, minors and dietary needs, and dietary notes that reveal a condition such as coeliac disease are sensitive data under Ley 25.326.

Age Checks Nobody Could Prove

Selling alcohol to anyone under 18 is prohibited in Argentina. Hosts checked IDs, but there was no record of who checked whom, and minors and drivers in a party had to be served without wine.

Club Charges Failing Quietly

The club runs seasonal shipments across three tiers, with member choices, skips and card-on-file charges. Expired and declined cards were found only when the boxes were already on the truck, and shipments abroad are restricted in many destinations.

Our Approach: From Winery Rules to a Clickable Console

01

Spec and Rules Research

Mapped 12 roles, from winemaker and cellar hand to tasting room host, club manager and finance, and 46 screens across the staff console, a visitor booking site and a member portal. Defined the data model for lots, vessels, SKUs, stock moves, bottling runs, allocations, bookings, age checks, members, seasons, charges and invoices. Wrote down the rules the design follows: Ley 25.326 on personal data, Ley 24.788 on alcohol and minimum age, INV records and analysis clearance, Ley 24.240 on distance sales and ARCA electronic invoicing.

02

Clickable Demo on a Production UI Kit

Built 5 key staff screens on a production dashboard kit: the dashboard with visitors, revenue in ARS and USD, club season status, stock against commitments and a needs attention list; inventory with bottled and bulk views; wine detail with allocations, origin, movements and tasting notes; the Today floor view with check-in, walk-ins and send to POS; and club members with card status and the member panel. All actions run on local state.

03

What a Production Build Adds

Integration with Mercado Pago or Payway for card-on-file charges, a tasting room point of sale, ARCA web services for electronic invoices, Andreani, OCA or Correo Argentino for shipping, WhatsApp reminders and email. Staff auth by role, an append-only audit log, and the remaining screens: vessels, bottling runs, counts, library, distributors, bookings, vouchers, shipments, charges, events, INV records, reports, the visitor booking site and the member portal in Spanish and English.

Why It Works: Every Bottle and Guest Accounted For

Free Stock Is Calculated, Not Guessed

Each SKU splits on hand into allocated, reserved, library, quarantine and free, with locations and label lot codes. Over-allocated wines show in red on the inventory and the dashboard, and the wine detail lists each allocation with release to free stock.

The Floor View Shows Who Is Coming

Each slot is a column with booked seats against capacity, and every party card shows tasting adults, drivers, minors, language, dietary needs, status and ID state. Hosts start a tasting, send the bill to the point of sale, move a party to a later slot or mark a no-show.

An Age Check That Leaves a Record

Check-in confirms an ID for each tasting adult and records who checked and when, without storing ID numbers or photos. A guest without ID can still join as non-tasting, and drivers are served a non-alcoholic pairing.

Club Problems Before the Charge Run

Members show tier, delivery, card status and last four digits, seasons and skips used. Expiring and failed cards are flagged with a send update-card link action, only a payment token is stored, and retries run on day 2 and day 5.
