Waymark - Advisor Portal with Suitability Reports Built From the Case

Advisor Workspace for a UK Wealth Management Firm

Designed and built a clickable advisor portal for a UK wealth firm's financial planners: a daily home with reviews due and alerts, a segmented client book, a Client 360 for every household, an advice case board and a suitability report builder that will not issue a report until the checks and approvals are in place.

Impact

5 Screens
Clickable end to end

Advisor home, client book, Client 360 with 6 tabs, the advice case board and the suitability report builder. Every one of the 24 demo households opens its own Client 360.

9 Sections
Suitability report pre-filled

From your circumstances to next steps and what to sign, each drafted from the case and the household record, with a live client preview and an ex-ante costs table.

4 Gates
Before a report is issued

Paraplanner approval, compliance approval where the case needs it, no empty sections and no open red warning such as an expired fact-find or risk profile.

24 Households
Realistic demo data

16 advice cases across 8 stages, 10 alerts, 8 tasks, 5 model portfolios, 8 funds and 8 staff users, with 3 households flagged as vulnerable.

The Problem

Wexcombe Hale's 14 planners worked from a back-office CRM, three platform websites, a risk profiling tool, a cashflow tool and Word templates. One annual review meant pulling valuations from every platform into a spreadsheet and pasting them into a 30-page suitability report that a paraplanner then rewrote. Reports took 8 to 12 working days to go out, and nobody could say with confidence which clients had received the annual review they were paying for.

Our Solution

Waymark gives each planner one place to run their client book: see who is due a review, read the alerts on their clients, open any household with its risk, vulnerability and service record, follow advice cases by stage, and build the suitability report from structured data, checked by a paraplanner and compliance before it reaches the client.

The Challenge: Advice That Stands Up to the FCA

UK financial advice is regulated at every step, from what a firm must know before it recommends anything to how it shows its costs and proves it delivered the ongoing service a client pays for.

Suitability Rests on Current Facts

Under COBS 9 and 9A a firm must know the client's knowledge and experience, financial situation, ability to bear losses and objectives before it recommends, and must explain why the advice suits them. A report built on an out-of-date fact-find or risk profile does not meet that test.

Risk and Capacity for Loss Can Disagree

FCA guidance expects attitude to risk and capacity for loss to be assessed separately and any conflict resolved. A client who is happy with risk but cannot afford a fall in value needs a different recommendation, and the planner has to see that before advising.

Paying for a Review That Never Happened

Where a client pays an ongoing adviser charge for a service that includes a periodic suitability assessment, the firm must deliver it, generally at least annually. The FCA has asked firms directly whether these reviews happen, and Wexcombe Hale could not answer from its systems.

Vulnerable Clients and Fair Value

Consumer Duty requires good outcomes and fair value across every service, and FG21/1 describes four drivers of vulnerability: health, life events, resilience and capability. Vulnerability details are special category data under UK GDPR and need consent to record.

Our Approach: From Advice Rules to a Clickable Portal

01

Spec and Rules Research

Mapped 8 roles from financial planner and paraplanner to compliance officer, practice director and the client, 43 screens across the staff workspace and a mobile-first client portal, and the data model for households, fact-finds, risk assessments, vulnerability records, accounts, holdings, model portfolios, advice cases, suitability reports and costs and charges statements. Wrote down the rules the design follows: COBS 9 and 9A, ongoing advice and periodic suitability, Consumer Duty, FG21/1, MiFID II-derived costs and charges disclosure, tax wrapper allowances, SM&CR, UK GDPR and the Data Protection Act 2018.

02

Clickable Demo on a Production UI Kit

Built 5 key screens on a production dashboard kit: the advisor home with KPIs, assets under advice chart, reviews due with booking, alerts and tasks; the client book with segment pills, filters and a quick view panel; Client 360 with risk, vulnerability and service cards and 6 tabs; the advice case board with days in stage; and the suitability report builder with an editor, live client preview, checks panel and approval trail. All actions run on local state.

03

What a Production Build Adds

Platform feeds from Transact, Fidelity Adviser Solutions and aberdeen Wrap, fund data from FE fundinfo or Morningstar, risk profiling with Dynamic Planner or Oxford Risk, cashflow export to Voyant or CashCalc, AML checks, DocuSign, Microsoft 365 calendar and email, Origo Options and the FCA Financial Services Register. Staff auth by role with book scope, a full audit log of every recommendation, approval and signature, and the remaining screens: fact-find, risk profile, cashflow, reviews, portfolios, compliance, reports, settings and the client portal.

Why It Works: Rules Shown Where the Planner Works

The Report Cannot Skip a Check

Issue to client stays locked until the paraplanner and, where required, compliance have approved, every section has text and no red warning is open. The checks panel shows the readability score against the firm's target, model risk against the agreed profile, the fact-find date and the signer's certification.

Conflicts Flagged on the Household

The risk card turns amber when a profile expires within 60 days and red when it has expired, and a low capacity for loss with a profile of 5 or higher is flagged before new advice. The service card warns when the ongoing fee is still collected while the review is overdue.

Vulnerability Travels With the Client

A vulnerable household shows its driver, a short summary, the adjustments agreed and a review date, with consent recorded. The client book has a Vulnerable segment, and their advice cases are marked for compliance pre-approval.

Stuck Work Is Visible

Advice cases show days in stage, amber after 5 and red after 10, with a compliance pre-approval badge for cases over £250,000 or for vulnerable clients. The home screen lists reviews due in the next 60 days with overdue ones in red, ready to book.
