Service Booking App for a Riyadh Car Service Chain

Designed and built a clickable head office console for a chain of 18 car service and tyre centres in Riyadh: every booking across branches, job cards with itemised quotes for extra work, a fixed-price service menu by vehicle model, and warranty claims checked by date and mileage.

Impact

5 Screens
Clickable end to end

Head office dashboard, bookings with a quick view panel, job card, service menu and pricing, and warranty claims. Each of the 12 bookings with a job card opens its own job card.

2 Hours
Quote expiry, then a call

Extra work goes to the customer as an itemised quote by push, SMS link and WhatsApp. After 2 hours unanswered it is flagged, and a phone approval cannot be saved without a call reference.

10 Groups
Fixed prices by vehicle model

Each menu service is priced per vehicle group and parts grade, genuine or aftermarket, VAT included, with parts cost and margin. Price changes are scheduled from a date and apply to new bookings only.

28 Bookings
Realistic demo data

18 branches, 28 bookings across at-branch, at-home and pick-up service, 12 job cards, 14 menu services and 12 warranty claims at every stage.

The Problem

Rimth took bookings by phone and WhatsApp, and each of its 18 branches kept its own diary. Customers were quoted one price on the phone and charged another at the counter, extra work was agreed in calls nobody could later prove, paper invoices were lost before warranty claims, and about one in five calls to head office was a customer asking whether their car was ready.

Our Solution

Ruknah takes a car from booking to handover: customers book a fixed-price service at a branch, at home or with pick-up and drop-off, follow the job live, approve extra work from an itemised quote and pay in the app. Advisors run check-in and job cards, and head office runs bookings, pricing, capacity and warranty claims across all branches.

The Challenge: Trust at the Service Counter

Car servicing in Saudi Arabia runs on VAT-inclusive prices, ZATCA e-invoices and personal data protected under the PDPL, and a chain of 18 branches has to give every customer the same price, the same proof and the same answers.

Prices That Changed at the Counter

A phone quote and the counter price rarely matched. Prices have to be fixed per model, year and engine for each parts grade, shown VAT-inclusive before booking, and kept for a booking even when the menu price changes later.

Extra Work Nobody Could Prove

Consumer protection rules expect the customer's approval before extra work and an itemised invoice that says whether each part is genuine, aftermarket or refurbished. A quick call left no record of what was agreed.

E-Invoices and Personal Data

ZATCA's Fatoora rules need compliant electronic invoices with a QR code for B2C sales, cleared or reported once Rimth enters its Phase 2 wave. Plates, photos, mobile numbers and locations are personal data under the PDPL and stay in a Saudi cloud region.

No View Across 18 Branches

Branches were overbooked on Thursday evenings and empty on Sunday mornings, and head office could not see which bays were busy, which jobs were late or which warranty claims were waiting.

Our Approach: From Workshop Rules to a Clickable Console

01

Spec and Rules Research

Mapped 9 roles from customer to finance and admin, 43 screens across the customer app, branch app and head office console, and the data model for vehicles, vehicle groups, versioned services and prices, bookings, job cards, quotes, payments, e-invoices and warranty claims. Wrote down the rules the design follows: the PDPL, ZATCA Fatoora e-invoicing, VAT held as a setting, Ministry of Commerce consumer protection, SAMA-licensed payments, SASO tyre labelling and CST rules for SMS.

02

Clickable Demo on a Production UI Kit

Built the head office console's 5 key screens on a production dashboard kit: the dashboard with KPIs, branch league table, bookings-by-hour heat map and a needs-attention list, bookings with filters and at-risk flags, the job card with tasks, parts, findings, quotes and the check-in record, the price matrix with bulk price changes, and warranty claims with approve, inspect and decline. All actions run on local state.

03

What a Production Build Adds

The customer app and the rest of the branch app, Arabic right-to-left layouts, and integrations with a SAMA-licensed payment provider for mada, Apple Pay and STC Pay, an e-invoicing solution connected to ZATCA, SMS and WhatsApp messaging, Google Maps and the Saudi National Address, a VIN decoder, the parts ERP and tyre feeds. Staff auth by role and branch, hosting in a Saudi cloud region, and an append-only audit log.

Why It Works: Every Price and Every Yes on Record

One Price Per Car, Fixed at Booking

The price matrix shows each vehicle group's genuine and aftermarket price with parts cost, labour time and margin. Bulk changes show a preview, take an effective date and leave a version history, and booked jobs keep the price they were sold at.

Extra Work Waits for a Recorded Answer

Technician findings carry photos and an urgency of Safety now, Soon or Can wait. The quote lists parts, labour, grade and time added for each line, and a phone approval records who approved and the call reference.

Head Office Sees What Needs Attention

The dashboard lists jobs past their promised time, quotes unanswered after 2 hours, completed jobs left unpaid, rejected e-invoices and warranty claims older than 3 days. The branch filter carries across every page.

Warranty Decided on Date and Kilometres

Each claim shows the mileage at the original job and now, and checks date and kilometres separately against the warranty for that line: 6 months or 10,000 km on labour, or the part's own term. Declines need a reason, and parts claims can be flagged for supplier recovery.
