Impact

5 Screens
Clickable end to end

Dashboard, leads inbox with a lead panel, deals pipeline as board or table, the deal desk and vehicle stock with a quick view. Each of the 22 demo deals opens its own deal desk.

3% / 6%
Discount limits on every deal

Salespeople give up to 3% alone, a sales manager (or the used car manager for used cars) approves up to 6%, and anything more goes to the general manager. The deal desk shows the discount against these limits and sends each request to the right approver.

15 / 60 Min
Lead response clock

Every lead shows the minutes it has waited, amber after 15 and red after 60, with a dashboard list of leads not answered in 15 minutes.

28 Cars
Realistic demo data

New, used and demonstrator cars across 6 showrooms, plus 21 leads, 22 customers, 22 deals and 13 staff users.

The Problem

Olszynka grew by buying other dealerships, and each one kept its own tools. Leads from the website and listing portals landed in four shared mailboxes and about one in five was never answered, stock lived in a spreadsheet per showroom, discounts were approved by phone with no record, and management saw gross profit per deal only when accounting closed the month, 3 to 4 weeks late.

Our Solution

Przegub gives the group one system from lead to delivery: a single lead inbox with a response clock, a deals pipeline where every deal shows its stage and days in stage, a deal desk that builds the offer with live gross profit and routes discounts to the right approver, and one stock list across every site with ageing bands and portal publishing.

The Challenge: One Group, Many Old Tools

A multi-brand dealer group sells new cars for three manufacturers and used cars of any make from six showrooms, and every sale touches finance partners, trade-ins, registration and Polish consumer and tax rules.

Leads Lost in Shared Mailboxes

Enquiries from the website, Otomoto, OLX, AutoScout24, the manufacturers, the phone and walk-ins arrived in different places. About one in five was never answered, and duplicates of existing customers went unnoticed.

Stock Nobody Could See

A salesperson in Mokotów could not see that the car a customer wanted was sitting in Białołęka, and used cars routinely passed 120 days in stock before anyone noticed.

Discounts Agreed by Phone

Discounts and trade-in allowances were approved in phone calls, so nobody could later say who agreed to what, and over-allowance on a trade-in hid inside the discount.

Finance, Tax and Consumer Rules on Every Deal

Olszynka does not lend, so finance and insurance must be handed to licensed partners without the dealer calculating an APR. Used cars bought from private sellers are sold under the VAT margin scheme, consumer buyers get two years of liability, and invoices go to KSeF.

Our Approach: From Dealer Rules to a Clickable System

01

Spec and Rules Research

Mapped 14 staff roles from lead agent and salesperson to service advisor, technician, parts advisor and data protection officer, 46 screens across sales, stock, service, parts, money, reports, admin and customer pages, and the data model for leads, vehicles, appraisals, deals, approvals, finance handoffs, job cards, parts and invoices. Wrote down the rules the design follows: GDPR and the Polish data protection act, the Consumer Credit Act, the Consumer Rights Act, KSeF, the VAT margin scheme, the AML act, test drive licence checks and registration in CEPiK.

02

Clickable Demo on a Production UI Kit

Built the 5 key sales screens on a production dashboard kit: the dashboard with month vs target per showroom, my work and needs attention cards, the leads inbox with assign, the lead panel and its composer, the deals pipeline with 8 stages, the deal desk with editable discount, trade-in, finance handoffs, deal costing and approve or decline, and vehicle stock with bulk publish, transfer and price changes checked against the margin floor. A site switcher filters every screen, and all actions run on local state.

03

What a Production Build Adds

Lead feeds and stock publishing for Otomoto, OLX and AutoScout24, valuation data from Info-Ekspert or Eurotax, partner bank, leasing and insurer handoffs, e-signature with Autenti or DocuSign, Przelewy24 or PayU deposits, Comarch ERP or enova365 for accounting and KSeF, manufacturer portals, TecDoc and SMS and email. Staff auth by role, a full audit log, legal review with Polish counsel, and the remaining screens: test drives, appraisals, deliveries, registrations, service, parts, money, reports, admin and the customer pages.

Why It Works: Every Deal Visible and Approved

One Inbox With a Clock

Every lead from every source lands in one queue with its waiting time, a duplicate chip when the phone or email matches an existing customer, and matching stock across all sites in the lead panel.

Gross Profit Before the Handshake

Managers see the deal costing update live as the discount changes: vehicle cost, manufacturer bonus, accessories, trade-in over-allowance and expected finance commission, down to front-end and total gross profit.

Approvals With a Reason

Each discount shows its amount and percentage against the user's limit, the salesperson's reason and who must decide. A manager can approve, approve a lower amount or decline, and a decline needs a reason.

Rules Built Into the Contract and Stock

The contract panel fixes liability at 24 months for consumer buyers and flags the withdrawal right when signed away from the showroom. Finance shows the partner's status only, never an APR, and stock ages in bands so used cars over 90 days surface on the dashboard.
