Remanso - Online Therapy Platform with Crisis Rules Built In

Therapy Booking and Sessions Platform for a Spanish Psychology Network

Designed and built a clickable psychologist workspace for a Spanish online therapy platform that matches clients with licensed psychologists: today's sessions with a pre-session summary, availability and bookings, a private clinical record per client, and a message inbox that flags risk phrases and replies waiting too long.

Impact

5 Screens
Clickable end to end

Today, calendar and availability, clients, the client record with 7 tabs and messages, plus the session note editor and the session room's pre-admit panel.

3 Flag Types
Surfaced on the psychologist's day

Risk flags from the intake safety screen, PHQ-9 item 9 or a message, notes still unsigned after 48 hours, and messages past the 2 working day reply target.

14 - 17
Minors only with guardian consent

Teenagers join only with a verified guardian's consent and only with psychologists who hold a valid sexual offences certificate. Under-14s are not accepted.

18 Clients
Realistic demo data

14 active, 2 on hold and 2 discharged, including 2 minors, with 8 sessions today, 22 booked this week and 8 message threads in Spanish, Catalan and English.

The Problem

Alborada started as a directory with a contact form. Clients emailed three psychologists and waited days for replies, each psychologist used their own video tool, payment link and spreadsheet for notes, and Alborada could not show that sessions were private, notes were stored safely or every psychologist was a registered colegiado. A message saying "I don't want to be here any more" sent at 23:00 was not seen until morning.

Our Solution

Remanso puts the journey in one place: matching with three psychologists, booking and payment, one secure video room, one encrypted clinical record per client and one set of crisis rules every psychologist follows. The demo shows the psychologist's workspace, where the day's sessions, risk flags, clinical notes and client messages meet.

The Challenge: Therapy Online, Safely

Online psychotherapy in Spain is a health service. Who may provide it, how notes are kept, how minors are treated and what happens in a crisis are all set by law and professional ethics, and a platform has to make those rules hold for every psychologist on it.

Only Qualified, Registered Psychologists

In a health context treatment is generally reserved to the Psicólogo General Sanitario or the clinical psychology specialist; a degree alone is not enough. Each psychologist must also be registered with a regional colegio and hold liability insurance, and both lapse.

Clinical Notes Are Special Category Data

Notes, questionnaire answers, mood logs and messages are health data under GDPR Article 9 and the LOPDGDD. Notes must be readable only by the treating psychologist outside a logged break-glass process, kept for at least five years under Alborada's policy and kept apart from private personal annotations.

Not an Emergency Service

Clients write between sessions and at night. The platform cannot assess risk, yet a risk phrase or a positive mood questionnaire has to reach the psychologist, and the client has to see 024 and 112 straight away.

Teenagers and Guardians

Consent to treatment for a minor generally needs a parent or guardian, with specific rules from 16, and anyone working regularly with minors needs a negative certificate from the sexual offences register. The guardian sees billing, never session content.

Our Approach: From Clinical Rules to a Clickable Workspace

01

Spec and Rules Research

Mapped 9 roles from client, guardian and psychologist to clinical lead, verification officer and data protection officer, 49 screens across public pages, a mobile-first client app, the psychologist workspace and an operations console, and the data model for matches, bookings, packs, encrypted session notes, risk flags, crisis incidents, invoices and payouts. Wrote down the rules the design follows, from Ley 33/2011 and colegio registration to GDPR, Ley 41/2002, consumer withdrawal rights and the IVA exemption for health care.

02

Clickable Demo on a Production UI Kit

Built the psychologist workspace on a production dashboard kit: Today with the session list, Open room and flags to acknowledge, the calendar with week and month views, session settings and time off, the client list with status filters, the client record with summary, notes, treatment plan, homework, mood, sessions and documents, and messages with quick replies and pause messaging. Notes save as drafts and lock when signed, and every action runs on local state.

03

What a Production Build Adds

The client app, public pages and operations console, video with EU data residency and an audio fallback, Stripe or Adyen and Bizum payments, SEPA payouts, Veriff or Onfido identity checks, email, SMS and push reminders, Google and Microsoft calendar sync and e-signed guardian consent. Clinical notes encrypted with per-psychologist keys in an EU key service, a logged break-glass process for the clinical lead and a full audit log, with each legal point confirmed by Spanish counsel.

Why It Works: Care First, Rules Underneath

The Day Starts With What Matters

Each session on Today carries a one-line summary with the last shared mood, homework status and flags, so the psychologist walks in prepared. The room opens 10 minutes before and shows the client's confirmed location and emergency contact before they are admitted.

Flags Raise, People Decide

A risk phrase in a message shows the client 024 and 112 at once and flags the thread for the psychologist, with a plain note that no automatic assessment has been made. The psychologist sets the risk status and can record a crisis incident from the record or the thread.

Clear Limits on Messaging

Every thread shows the client the reply target of 2 working days, message hours of 09:00 to 20:00 and the crisis numbers. Quick replies include the 112 and 024 line, and pausing messaging sends an auto-reply instead of silence.

Private by Default

Clients appear by alias, opening a clinical record is logged, private annotations sit apart from the clinical notes, and mood data shows only when the client shares it. A banner warns when a credential such as insurance is due within 30 days, before new bookings are blocked.
