Gleaner - Volunteer Management Platform with Verified Hours and Screening Built In

Volunteer Management for an Ohio Food Bank Network

Designed and built a clickable volunteer management platform for a regional food bank network in Ohio: shifts colored by how full they are, a volunteer directory and profile with readiness, screening and consent in one place, and an hours review queue that flags anything a person should check before it counts.

Impact

5 Screens
Clickable end to end

Dashboard, volunteer directory, volunteer profile with 7 tabs, the week schedule with its shift quick view and new shift panel, and hours review with the hours entry panel.

5 Flags
Before hours count

No check-out, outside the shift window, self-logged offsite, group bulk entry and required service. Bulk verify passes only clean entries, and adjusted hours need a reason and round to 0.25.

8 Steps
FCRA screening timeline

Disclosure, authorization, order, report returned, individualized review, pre-adverse notice with the report and Summary of Rights, waiting period and final decision, shown on each volunteer's Screening tab.

26 Volunteers
Realistic demo data

30 shifts over 7 days at 12 sites, 10 roles with age, training and check rules, 20 hours entries and 3 required-service cases for a court and two schools.

The Problem

Tallgrass Commons had grown from one warehouse to 14 volunteer sites, but volunteers still signed up through an ageing calendar tool, signed in on paper at the door and were texted from coordinators' personal phones. Hours were re-typed into a spreadsheet every Monday, nobody could say who on the senior-box route or the kids' meal program had a current background check, and court and school hours letters were typed by hand.

Our Solution

Gleaner takes a volunteer from first sign-up to a thank-you for their 500th hour. Coordinators see every shift by how full it is, open a volunteer's readiness, screening and consent on one profile, and verify hours from check-in and check-out events, with anything unusual flagged for a person to review.

The Challenge: Thousands of Volunteers, One Paper Sign-In Sheet

About 23,000 people volunteer with the network each year across warehouses, pantries, a teaching kitchen, a garden and mobile pantry routes. Each role has its own age, training and screening rules, and the hours they give are relied on by courts, schools and funders.

Hours Weeks Late and Often Wrong

Volunteers signed in on paper sheets at the door, and coordinators re-typed them into a spreadsheet every Monday, so hours were weeks late and often wrong. Reminders went out from coordinators' personal phones, with no record of who had agreed to texts.

Screening Nobody Could See

Roles with children, older adults, client homes or driving need a background check, and the FCRA sets the steps: a standalone disclosure, written authorization and a pre-adverse notice before any decision based on the report. Coordinators could not tell whose check had lapsed.

Service Hours Letters Without Proof

Court-ordered community service and school hours letters were typed by hand. Twice a probation officer rang to query a letter the network could not back up, so only staff-verified hours may now count, signed by a named signer.

Shifts Out of Balance

Busy Saturday shifts overflowed while weekday repack shifts ran half empty, there was no waitlist to fill cancellations, and corporate groups booked by email and arrived with more people than the shift could hold.

Our Approach: From Volunteer Rules to a Clickable Platform

01

Spec and Rules Research

Mapped 13 user roles and 54 screens across staff, on-site, volunteer portal, group leader and public letter verification, and the data model for volunteers, households, roles, shifts, bookings, waitlists, check events, hours entries, required-service cases, letters, background checks, consent and incidents. Wrote down the rules the design follows: FLSA volunteer status, the Volunteer Protection Act, FCRA screening, COPPA as policy for children, TCPA and CTIA texting, CAN-SPAM, the value of volunteer time under ASC 958-605 and Ohio safeguarding reporting.

02

Clickable Demo on a Production UI Kit

Built 5 key screens on a production dashboard kit: the dashboard with KPIs, a next 7 days strip and hours by program, the volunteer directory with filters and bulk actions, the volunteer profile with readiness, screening, consent and required-service cases, the week schedule with shift quick view and new shift panel, and hours review with verify, adjust and reject. A site switcher filters every screen, and all actions run on local state.

03

What a Production Build Adds

SMS through Twilio or Telnyx with 10DLC registration, SendGrid or Postmark email, background checks through an FCRA-compliant agency such as Sterling Volunteers or Checkr, e-signature for waivers, maps, calendar invites, Microsoft Entra ID sign-in for staff and donor CRM sync. Plus the shift lead and kiosk screens for QR check-in, the volunteer portal, group leader pages, public letter verification, restricted safeguarding records, an audit log and counsel's review of each rule before launch.

Why It Works: Every Hour Has a Source

Fill Shown Before It Becomes a Problem

Every shift in the next 7 days is a bar colored red under 50% full, amber from 50% to 79% and green from 80%. The quick view shows the waitlist, group holds as held versus registered, and offers a place to the next person in line.

Hours a Person Has Checked

Each hours entry shows its check-in and check-out events with the device used and the shift lead's note. Clean kiosk and lead entries verify in bulk, while flagged entries and every required-service entry are opened one by one, with the case's progress toward its deadline.

Readiness on One Profile

The profile lists waiver version, photo consent, trainings with expiry, background check status and, for drivers, license and insurance. The dashboard's needs attention list catches a volunteer booked on the kids' meal program whose check has lapsed.

Volunteer Status and Consent Protected

Anyone matched to the payroll list carries an FLSA note, the value of volunteer time uses a configured Independent Sector rate and is labelled an estimate, not income, and the consent tab records how each SMS and email permission was given or revoked, including STOP.
