Posodi - Peer-to-Peer Rental Marketplace with Deposit Holds and Photo Evidence

Rental Marketplace Back Office for a Slovenian Start-Up

Designed and built a clickable back office for a Ljubljana rental marketplace where neighbours and small shops rent out tools, camera gear and outdoor equipment: bookings with card deposit holds, pick-up and return photo check-ins compared shot by shot, and a claims desk that decides damage claims within a deposit and a staff decision limit.

Impact

5 Screens
Clickable end to end

Dashboard, bookings list, booking detail with 5 tabs, claims queue with 4 tabs and the claim workspace. Every one of the 30 demo bookings and 13 claims opens its own page.

4 Deposit Bands
Set by replacement value

€50 up to €200 of value, €150 up to €800, €300 up to €2,000 and €500 above that. Each listing's deposit comes from its band, and claims show the deposit available next to the amount claimed.

€500 Limit
Claims agent decision limit

The capture is capped at the deposit available, and a decision above the agent's €500 limit is sent to the Claims lead to confirm, flagged in the queue as Lead sign-off.

30 Bookings
Realistic demo data

27 members, 20 listings in 8 categories, 30 bookings across every status and 13 claims covering damage, missing parts, cleaning, late return and an item not returned.

The Problem

Kresnica Sharing started as a Facebook group and a shared spreadsheet. Prices were agreed in private messages, deposits were paid in cash or by bank transfer, and nobody photographed the item at handover. When a lens came back scratched or a pressure washer never came back, the team had no evidence, no money held and no way to tell who was right. About one rental in twelve ended in an argument, and the team spent most of its week in message threads.

Our Solution

Posodi captures money, identity and evidence before an item changes hands. Renters book with a card deposit hold, both parties photograph the item at pick-up and return, and the operator team works bookings and claims from one back office where pick-up and return photos sit side by side and every decision states its reason.

The Challenge: Trust Between Strangers

A rental marketplace hands a €2,900 camera or a €7,500 cargo e-bike from one stranger to another for a few days. Posodi has to hold enough money, keep enough evidence and follow EU platform rules so that when something goes wrong, the outcome rests on facts.

No Evidence at Handover

Without photos at pick-up and return, a scratch on a lens or a crack in a SUP board was one person's word against another's. Photos uploaded from a gallery later prove little about when they were taken.

Deposits That Expire

Posodi never holds renters' money itself. Deposits are card authorisations through a payment provider, and a hold lapses after a period the card scheme and provider set, so a long rental or an open claim can outlive the hold.

Platform Duties Under the DSA

As an online platform, Posodi needs a notice and action mechanism, a statement of reasons for every listing removal or account restriction, and trader traceability for shops that rent to consumers. Every listing is labelled Private owner or Business.

Identity, Tax and Restricted Items

Selfie identity checks involve biometric data under GDPR Article 9, DAC7 requires seller data for reporting certain rental income to FURS, and drones need the renter's operator registration before a booking is confirmed.

Our Approach: From Marketplace Rules to a Clickable Back Office

01

Spec and Rules Research

Mapped 8 roles from renter and private or business owner to trust and safety, claims, support, finance and admin, 51 screens across the renter app, owner app and back office, and the data model for listings, bookings, deposits, check-ins, claims, notices, payouts and DAC7 reports. Wrote down the rules the design follows: GDPR and ZVOP-2, the Digital Services Act, EU and Slovenian consumer law, DAC7, PSD2 strong customer authentication and the EU drone rules.

02

Clickable Demo on a Production UI Kit

Built 5 back-office screens on a production dashboard kit: the dashboard with KPIs, queues, a 12-week GMV chart, supply by area and a needs-attention list, the bookings list with status and owner-type filters, booking detail with Timeline, Money, Check-ins, Messages and Claims and disputes tabs, the claims queue, and the claim workspace with the evidence compare viewer and decision panel. Deposit hold extensions, refunds, notes and claim decisions run on local state.

03

What a Production Build Adds

Payments, deposit holds and owner payouts through Stripe Connect or Adyen for Platforms, identity checks with a provider such as Veriff or Onfido, AJPES and VIES lookups for trader details, maps, a licensed insurance partner for damage cover, and a DAC7 export for FURS. Staff roles with decision limits, an audit log for every decision, and the renter app, owner app and remaining back-office screens.

Why It Works: Decisions Made on Evidence

Pick-Up and Return Side by Side

For each required shot the claim workspace shows the pick-up photo next to the return photo with damage markers, timestamps and whether it came from the in-app camera or a gallery upload, plus both checklists and readings such as shutter count.

Money Visible Before Deciding

Booking detail shows what the renter paid, the deposit and its hold expiry, the owner payout after commission and the damage cover. A warning appears when a hold will lapse while a claim is open, with Extend deposit hold one click away.

Suggested Outcomes, Required Reasons

Each claim shows a suggested outcome from the claim guidelines, for example wear and tear marked at pick-up means no charge. The agent picks uphold in full, in part or reject, and must write a reason that is shared with both parties.

Deadlines and Limits on Screen

The claims queue shows each claim's age against the 5-working-day decision target, red when past it, and flags amounts above the agent's €500 limit. Anything above the deposit can be referred to the insurance partner when cover is active.
