Vet Practice Software for a French Clinic Group
Designed and built a clickable practice management system for a group of 12 companion-animal clinics in France: a dashboard of what needs handling today, the appointment book by vet and room, patient records shared across every clinic with I-CAD identification, and a 24-hour hospitalisation board where nurses tick off each treatment.
Most of our work is under NDA. Per agreement, we can share the work but not the company details - all names and identifying information shown here have been changed.
Dashboard, appointment book, patient search, patient record with 7 tabs and the hospitalisation board. Every one of the 30 demo patients opens its own record.
One line per treatment order from 06:00, with the current hour highlighted. Tap a chip to mark it done with your initials or skip it with a reason; overdue doses show red.
Overdue treatments, a controlled drug count discrepancy, consult notes unsigned after 24 hours, dogs and cats with no identification, unpaid visits from yesterday and vaccines given without a reminder.
15 dogs, 11 cats and 4 NAC across 19 owners, 25 appointments for 4 vets, 7 in-patients on the board and a clinic switcher listing all 12 clinics.
Clairbois grew by buying independent clinics, and inherited four different practice systems across 12 sites. A dog seen in Annecy on Saturday was a stranger to the Chambéry clinic on Monday. In-patients were tracked on whiteboards and paper treatment sheets, medicines were dispensed without a reliable link to the ordonnance, stock was counted by hand once a quarter, and finance rebuilt revenue per vet from 12 spreadsheets every month.
Museau runs the whole visit in one system, in French, on reception desktops and consult-room tablets: the appointment book, patient and owner records shared across the group, SOAP notes, vaccinations, prescriptions dispensed from clinic stock, the hospitalisation board, estimates and consent, invoicing, stock and group reporting, with an owner portal to book, pay and sign.
French vets work under the Ordre national des vétérinaires and the Code rural, prescribe and dispense their own medicines, and keep registers for antibiotics, controlled drugs and identification. Every one of those duties had been split across four systems and a lot of paper.
Each acquired clinic kept its own records, so owners repeated the history and vaccination dates from memory. Identification is compulsory for dogs and cats in France, recorded in the national I-CAD register, and nobody could see at check-in which animals had none.
Treatments, fluid rates and observations for hospitalised animals lived on boards and paper sheets. A missed dose or a changed fluid rate depended on who happened to read the board.
Every ordonnance carries the vet's Ordre number, dispenses go in a register kept for years, critically important antibiotics generally need a sensitivity test first, and stupéfiants such as ketamine need their own register with balances reconciled at each count.
Invoices need sequential numbers with no gaps and are corrected only by a credit note, payment software must meet the French anti-fraud rules, and Clairbois' own policy requires a written estimate above 300.00 EUR and a revised one before going more than 10% over.
Mapped 9 user roles from vets and ASV nurses to group finance and owners, 46 screens (40 for staff and 6 in the owner portal) and the data model for patients, owners, appointments, consultations, vaccinations, ordonnances, controlled drug entries, hospital stays, estimates, consent forms, invoices, claims and stock. Wrote down the rules the design follows: the Code rural, EU Regulation 2019/6, antibiotic stewardship, the stupéfiants register, ANMV pharmacovigilance, I-CAD identification, the EU pet passport, VAT and invoice rules, and GDPR.
Built 5 key screens on a production dashboard kit, in French with French date, time and money formats: the dashboard with KPIs, a timeline of the day per vet and the Needs attention list, the appointment book by vet or by room with clash checks, patient search across the group, the patient record with identification, passport, weights, vaccinations and lab values, and the hospitalisation board. All actions run on local state.
The remaining screens, from SOAP consultations, pharmacy registers and surgery records to estimates, checkout, invoices, stock and reports, plus the owner portal. Integrations with I-CAD, IDEXX and in-house analysers, wholesalers such as Centravet, Stripe and SumUp payments, Alma instalments, Yousign e-signature, Brevo messaging, pet insurers and a Pennylane or FEC accounting export. Staff sign-in by role with a PIN for shared tablets and a full audit log.
The dashboard compares today with the same weekday last week, shows each vet's day as a timeline with a now line and lunch breaks hatched, and lists the items that need action, each linked to the right record.
The hospitalisation board shows every in-patient with kennel, weight, vet, reason, day of stay, fluid rate and flags such as nil by mouth or infectious. Nurses tap a chip to record a dose with their initials, and a skipped treatment needs a reason.
A patient record shows history from every clinic with the clinic and vet on each entry, alert chips for chronic conditions and drug reactions, the I-CAD status with the date it was checked, and the EU passport with its travel-valid-from date.
Dogs over 4 months and cats over 7 months with no microchip or tattoo get an amber banner on their record and appear in the dashboard's Needs attention list the day they are seen.

Designed and built a clickable practice management system for a group of 15 mixed NHS and private dental practices in England: the practice day with UDA delivery against the contract, the appointment book, patient records with a Palmer or FDI dental chart and NHS and private treatment plans, and an FP17 claims queue that catches errors before the NHSBSA does.

Designed and built a clickable aftercare platform for a Brisbane pet cremation company with 2 crematoria and about 300 partner vet practices: every pet gets one barcoded identity, is scanned at each hand-over from the practice freezer to the family's home, and cannot move on when a scan does not match.
