Mandoos - Dropshipping Operations Platform with Supplier SLAs and Scorecards

Dropshipping Operations for an Omani Home and Garden Retailer

Designed and built a clickable dropshipping operations platform for a Muscat online home and garden retailer whose 150 suppliers in Oman, the UAE and Asia ship straight to customers: feed health, order lines routed to the right supplier with SLA timers, a delivery promise built step by step, and supplier scorecards against fixed thresholds.

Impact

5 Screens
Clickable end to end

Dashboard, routing queue, order detail, suppliers and supplier detail. Every one of the 14 demo customer orders and 22 demo suppliers opens its own detail page.

3 Feed Limits
Staleness rules per method

API feeds go stale after 60 minutes, EDI after 6 hours and CSV after 26 hours. The dashboard sorts the 146 suppliers with live feeds into fresh, aging, stale and failed, and stale products add 2 business days to the promise.

5 Thresholds
Supplier scorecard

Late shipment under 4%, cancellation under 2.5%, defects under 2%, valid tracking over 97% and median acceptance under 4 business hours. Any metric over its threshold turns red on the supplier's 90-day scorecard.

25 Orders
Supplier orders in the demo

14 customer orders split into 25 dropship orders, at most 3 suppliers per order, across 22 suppliers (12 in Oman, 6 in the UAE, 4 Asian with GCC stock) and 22 products priced in OMR with 3 decimals.

The Problem

Bustan Qurum grew from 20 suppliers to 150 in three years without changing how it worked. Stock arrived as 150 spreadsheets in 150 layouts, orders went to suppliers by email and WhatsApp with no record of who had accepted, customers were promised "3 to 5 days" wherever the item shipped from, and supplier invoices were checked by hand.

Our Solution

Mandoos runs the supplier side of dropshipping in one place. Feeds are watched for freshness, each order line is routed to a supplier with an SLA timer on that supplier's working calendar, the delivery promise is built from handling time, transit, customs and weekends, and every supplier is measured against the same scorecard.

The Challenge: Selling Stock You Do Not Hold

Bustan Qurum holds almost no stock. About 12,000 products ship directly from 150 suppliers in two countries with different weekends and a customs border between them, yet the customer only ever deals with Bustan Qurum.

Stock and Prices Nobody Could Trust

Every supplier sent stock in its own spreadsheet layout, so the website sold garden sets that had been out of stock for a week. Cost prices changed on the supplier side and nobody noticed until the margin report.

Orders Handed Off by Message

Orders were forwarded by email and WhatsApp. Nobody could say which ones a supplier had accepted, and tracking numbers arrived days late or never, so customer service had no answer when a customer called.

One Promise for Every Route

A sofa from a Ghala warehouse and one from Jebel Ali got the same promise. UAE goods cross a customs border, Oman's weekend is Friday and Saturday while the UAE's is Saturday and Sunday, and Eid holidays are announced close to the date.

The Retailer Stays Responsible

Under Oman's Consumer Protection Law the retailer answers to the customer for defects even when a supplier ships. When outdoor extension leads were recalled, tracing the buyers took two days, and overcharged shipping on supplier invoices went unnoticed.

Our Approach: From Supplier Rules to a Clickable Platform

01

Spec and Rules Research

Mapped 13 roles across staff, supplier portal users and customers, 42 screens (32 staff, 8 mobile-first supplier portal and 2 public), and the data model for suppliers, terms, feeds, offers, dropship orders, SLA events, delivery zones, scorecards, invoices and recalls. Wrote down the rules the design follows: Oman's PDPL, 5% VAT, the Consumer Protection Law, the GCC customs union, GSO conformity and G-mark requirements, and Bustan Qurum's own SLAs and thresholds.

02

Clickable Demo on a Production UI Kit

Built 5 key screens on a production dashboard kit: the dashboard with KPIs, line pipeline, feed health and role-based My work, the routing queue with SLA timers in table or board view, the order detail with split view, routing decision, delivery promise and costs, the supplier list with status totals for all 150, and the supplier detail with terms, responsible party and scorecard. All actions run on local state.

03

What a Production Build Adds

Order lines from Shopify Plus or the client's OMS, EDI through TrueCommerce or SPS Commerce, CSV feeds over SFTP, Aramex, Asyad Express, Oman Post and DHL Express labels, AfterShip tracking, Unifonic or Twilio messages in Arabic and English, and Business Central or Odoo for supplier payments. Staff auth by role, an append-only audit log, the supplier portal, returns, recalls and invoice matching, with PDPL cross-border duties confirmed by the client's counsel.

Why It Works: Every Supplier on the Same Clock

SLA Timers That Change Colour

Each line shows the time left to accept or dispatch, amber under 1 hour and red once breached, counted on the supplier's own working calendar. The dashboard pipeline counts lines over SLA at every stage from Routed to Delivered.

Routing That Shows Its Reasons

The order detail lists every supplier considered for a line, its landed cost and promise, the rule that chose the winner and why others were skipped, such as a failed feed whose stock cannot be trusted. Re-route and cancel sit on each supplier order.

A Promise Built Step by Step

The delivery promise shows order time against the supplier's cut-off, handling days, carrier transit, a 1 business day customs buffer for UAE origin, a bulky item buffer and the weekend days skipped, then the text the customer sees in English and Arabic.

Suppliers See Only What They Need

Customer phones are masked to the last 4 digits, and the spec shares only name, phone, address and landmark notes with the shipping supplier. Supplier costs keep 5% input VAT separate and apply it only to VAT-registered Omani suppliers.
