Lintie - Virtual and Hybrid Careers Fair Platform with Safeguarding Built In

Virtual Events Platform for a Belfast University Careers Service

Designed and built a clickable organiser console for a Belfast university careers service that runs online and hybrid careers fairs and employer talks: events gated by a readiness checklist, a live control room for stages and booth queues, and a safeguarding workspace where every look at a chat log needs a stated reason.

Impact

5 Screens
Clickable end to end

Dashboard, events list, event setup with 5 tabs, the live control room for the Autumn Careers Fair and the safeguarding cases list with its case drawer.

6 Checks
Before an event can publish

Stages with a session and moderator, speakers who accepted recording terms, at least 2 recruiters per booth, interpreter and captioner bookings, an on-call safeguarding lead and an accessibility statement. Publish stays disabled while any check fails.

Reason First
Before any chat log opens

The chat log viewer on a safeguarding case asks for a reason first. The viewer's name, the time and that reason are added to the case access log.

13 Events
Realistic demo data

13 fairs, talks, panels and workshops, 12 safeguarding cases, 18 live booths in 3 halls, 3 stages with caption and interpreter feeds, and 10 staff users and ambassadors.

The Problem

Bellmoy's careers service runs four online careers fairs a year, each with 60 to 120 employer booths and 1,500 to 3,000 students, plus about 80 employer talks. It ran them on a general video-meeting tool, a spreadsheet of booth links and a shared inbox. Students joined the wrong call, recruiters asked for phone numbers in open chat, CVs were emailed to every employer whether the student wanted that or not, deaf students had to request an interpreter by email two weeks ahead, and when a student reported a recruiter, nobody could find the chat log.

Our Solution

Lintie gives the careers team one organiser console for online and hybrid events. Each event is set up in tabs for details, registration, access and recording, and cannot publish until its readiness checklist passes. On the day, a live control room shows every stage, caption and interpreter feed and booth queue, and reports go straight to a safeguarding workspace that keeps a record of every action and every look at the evidence.

The Challenge: Careers Fairs That Are Safe, Accessible and Private

A university careers fair puts students, some of them under 18, in direct contact with recruiters they have never met, on stages, in booth chats and in video 1:1s. The careers service has to keep it running live, keep student data with the student, and make it work for every student, under Northern Ireland's own data, equality and accessibility rules.

Sharing a CV Is the Student's Choice

UK GDPR and the Data Protection Act 2018 need a lawful basis for each use of student data. Sharing a profile or CV with an employer has to be a separate opt-in per employer or per event that the student can withdraw, with a record of what was shared, with whom and when. Follow-up emails from an employer need their own opt-in under PECR.

Safeguarding in Live Chat

Recruiters asked students for personal numbers in open chat, and a few first-years may be under 18. Contact details have to stay hidden unless the student shares them, any student has to be able to report or block, and a report has to lead to a case with the evidence attached and a response target.

Access Planned In, Not Requested Late

Disability duties in Northern Ireland come mainly from the Disability Discrimination Act 1995 as it applies there, and the Sign Language Act (NI) recognises both BSL and ISL. Bellmoy targets WCAG 2.2 AA, with captions on live and recorded sessions and a sign language interpreter window, booked in time for each session that needs one.

Many Moving Parts on the Day

A fair runs several stages, up to 120 booths, moderators and on-call safeguarding staff at once. With booth links in a spreadsheet, students joined the wrong call, employers saw each other's queues, and after each fair the team counted chat participants by hand.

Our Approach: From Careers Service Rules to a Clickable Console

01

Spec and Rules Research

Mapped 10 user roles and 47 screens across the student app, employer portal, speaker green room and organiser console, and the data model for students, CVs, consents, share grants, events, stages, sessions, booths, queues, conversations, meetings, access requests, recordings, reports, safeguarding cases and moderation rules. Wrote down the rules the design follows: UK GDPR and the Data Protection Act 2018, PECR, Northern Ireland disability and equality law including Section 75, the Public Sector Bodies Accessibility Regulations, the Sign Language Act (NI), and Bellmoy's own recording and safeguarding policy.

02

Clickable Demo on a Production UI Kit

Built 5 key screens on a production dashboard kit, set on the morning the Autumn Careers Fair is live: the dashboard with live and next events and their readiness, the events list with status pills and filters, event setup with a readiness checklist that gates Publish, the live control room with stage previews, booth heat map and reports feed, and safeguarding cases with a case drawer, chat log viewer and case actions. All actions run on local state.

03

What a Production Build Adds

University single sign-on through Microsoft Entra ID, live streaming with Mux or Amazon IVS, video 1:1s with Daily or Vonage, chat and presence with Stream or Ably, human and automatic captions, the Target Connect careers CRM, Companies House checks for employers, malware scanning of CV uploads, text moderation with Azure AI Content Safety, Outlook calendar invites and Postmark email. Plus the student app, employer portal and speaker green room, a DPIA and retention periods agreed with the data protection officer, and an external WCAG 2.2 AA audit before the first fair.

Why It Works: The Team Sees Problems Before Students Do

Events Publish Only When They Are Ready

Each event shows a readiness score built from pass, warn and fail checks, and the dashboard lists every event that is live or starts within 7 days with booths, moderators and interpreters booked against what is needed. Publish is disabled until every fail item is fixed.

The Whole Fair on One Screen

The control room shows live attendees, joins per minute, stream health per stage, caption and interpreter feed status and Q&A pending. Booths form a heat map by queue length, booths with no recruiter online show red, and the organiser can pause or close a queue, switch a stage to a holding slide or send a lobby banner.

Evidence Opens Only With a Reason

A safeguarding case shows the reporter's own words, linked items, 1:1 metadata (there is no recording) and messages held by a moderation rule such as contact outside platform requested. The chat log opens only after a stated reason, each action is recorded with who and when, and every case shows its age against target: 1 hour for urgent during a live event, 2 working days for others.

Access and Privacy Set Per Event

The Access tab sets human or automatic captions, a BSL or ISL interpreter default, the 5-working-day request deadline, quiet lobby and text-only booths. The Recording and privacy tab sets which stages are recorded, the attendee notice, the on-demand window, whether CV sharing is on and the employer terms version booth holders accept.
