Call Sheet - Production Office Platform for Call Sheets, Read Receipts and Turnaround

Call Sheet Platform for a Belfast Film and TV Production Company

Designed and built a clickable production office platform for an independent Belfast film and TV company: daily call sheets built from the schedule and checked before approval, distribution with a read receipt for every recipient, and crew hours and turnaround tracked against the production's own working terms.

Impact

5 Screens
Clickable end to end

Dashboard, call sheet list, the call sheet editor with all 12 printed sections and a print preview, distribution and read receipts, and hours and turnaround.

6 Checks
Before a call sheet can be approved

Valid permits for every location, signed risk assessments for every hazard, nearest emergency department, cast confirmed, child performer calls inside licence conditions and turnaround for every called crew member.

124 Recipients
Each with their own read receipt

Sent, delivered, read, not read and bounced for every crew member, performer and agent, with a Not read view sorted by earliest call, resend to not read and an SMS call reminder.

113 Crew
Realistic demo data

14 departments, 10 cast including a licensed child performer, 6 locations with permits, 17 scenes, 6 risk assessments and 30 call sheet versions across 24 shoot days of a 48-day series.

The Problem

Cromac Yard's production office built every call sheet by hand in a spreadsheet, copying scenes from the scheduling file, cast times from the 1st AD's notes and hospital details from last week's sheet. A late change meant re-sending a PDF to 120 people at 22:00, nobody could say who had seen the latest call, turnaround breaches surfaced on timesheets a week later, and on the last series two drivers arrived at a location that had moved.

Our Solution

Call Sheet builds each day's call sheet from the schedule, runs the safety, permit, licence and turnaround checks before the 1st AD can approve it, and sends it with a read receipt per person. Revisions become new versions with a what-changed note, and crew hours and turnaround are tracked against the terms the production enters.

The Challenge: One Sheet, 120 People, Every Night

A call sheet is the one document every member of the unit relies on for the next day. It pulls from the schedule, locations, cast, crew, safety and transport, it changes late in the evening, and it has to reach everyone in a version they can trust.

Late Changes, No Proof of Receipt

When the schedule moved, a new PDF went to the whole unit late at night with no way to tell who had opened it. The office needed to see who had not read the latest version, starting with the people called earliest.

Permits and Hazards Change by Location

Filming on public land or roads in Northern Ireland generally needs council permission, with DfI Roads involved for some roads. Stunts, water work, heights, vehicles and night shoots each need a signed risk assessment whose key controls belong on the call sheet.

Child Performers Have Their Own Rules

Children generally need a performance licence, in Northern Ireland usually issued by the Education Authority, and a chaperone. Each licence sets its own permitted days, hours and breaks, and the rules differ by age, so they cannot be hard-coded.

Turnaround Found Too Late

Rest rules under the Working Time Regulations (Northern Ireland) 2016 and crew terms based on PACT/BECTU agreements mean a late wrap and an early call can collide. Breaches were found on timesheets a week later, and overtime only showed up in the accountant's cost report.

Our Approach: From the Production Office to a Clickable Platform

01

Spec and Rules Research

Mapped 13 roles from production coordinator and 1st AD to chaperone and producer, and 40 screens across the production office, producer views, settings and a crew mobile app. Defined the data model for scenes, shoot days, locations and permits, cast and child licences, crew and working terms, call sheet versions, distribution, check-ins, timesheets and risk assessments, and wrote down the rules the design follows on data protection, filming permissions, children in entertainment, working time and health and safety.

02

Clickable Demo on a Production UI Kit

Built 5 key screens on a production dashboard kit: the dashboard with scenes and pages against schedule, check-ins and a watch list, the call sheet list with every version kept, the editor with all 12 sections and a checks rail, distribution with per-person receipts, and hours and turnaround by department. Submit, approve, send and revise run end to end on local state, with a role switch to walk through the 1st AD and production manager approvals.

03

What a Production Build Adds

The prep screens (script breakdown, stripboard, day out of days, locations, cast and crew), daily production reports, safety and timesheet pages, producer views and the crew mobile app for call times, maps, check-in and timesheets. Integrations for Final Draft and Movie Magic imports, Met Office weather, Google Maps and what3words, Postmark or SendGrid tracked email, Twilio SMS, push notifications, payroll export and risk assessment sign-off, plus sign-in by role and a full audit of every version, approval and receipt.

Why It Works: Checked Before It Is Sent

Approval Waits for Green Checks

The editor's checks rail shows every failing item with its reason, such as a road closure ending before the estimated wrap or a stunt risk assessment awaiting sign-off. A permit gap can only be overridden by the production manager, with a reason recorded.

Turnaround Checked Per Person

Each called crew member's expected wrap today is compared with tomorrow's call under the production's 11-hour threshold, entered as client policy rather than assumed. Breaches are listed by name, and moving calls in the editor updates the hours page.

Every Version Kept, Every Read Recorded

A revision is a new version with a what-changed note, and the old one is marked superseded once the new one is sent. Distribution shows who received and opened each version, so the production can show who was told what and when.

Personal Data Stays Off the Sheet

Call sheets list names and roles; personal phone numbers print only for key contacts who agree. Cast receive a version without crew rates or restricted contacts, and a child performer's call sheet goes to the chaperone and parent, not the child.
